Four records
One person, every role. A collector who also advises is one record with two roles, not two records drifting apart.
Status, availability and price on every work. Filter a fair’s allocation, a consignor’s works, everything unsold since 2023.
Fairs, openings and viewings, each with its checklist and its guest list attached, and a season view of what is coming.
Checklists, price lists and PDFs built from the records. Every file that leaves the building is logged: what, to whom, by whom.
The ledger
Sending a PDF, building a checklist, raising an invoice: each one writes a line. Who saw what, who was sent what, who bought what at which fair, and which member of staff did it.
Logging is never a separate step, so it never gets skipped. And because every line names the person on your side, the relationship stays the gallery’s when a director leaves.

Who sees what
That split is what gives an owner control of pricing across a programme running in several cities at once. An intern in one space, a registrar in another, a freelancer at a fair: each can be given the whole inventory and none of the money, or all of both, without anybody maintaining a second price list to keep them apart. The decision travels with the record — on screen, in a checklist, in an export.

Same records, same document, printed twice. The price column is only in the one built by somebody entitled to it.
Moving in
A migration is the meeting where you decide what to leave behind. There is no meeting. Your current system’s export runs past two hundred columns across a contact list and a checklist, and every one of them is imported — provenance, literature, shipping logs, consignment terms included, whether or not there is a field waiting for them. What has no home yet sits on the record until the work asks for it.
The import keys on the record ids your old system already gave them, so a second run updates what is there rather than making a second copy. Import, read it, fix something at the source, import again: one set of records, not two.
Moving out
Every export is one you build. Choose the columns you want, read the rows on screen before you commit to them, and take the file. It is a page in the system rather than a request to us.
The roles hold on the way out as they do on the way in. A price a role may not see is not in the file that role builds — missing from it, not blanked, for the same reason it is missing on screen.
